COVID-19 Screening Privacy Policy

This Privacy Policy explains how the Production (“Production”, “we”, “us”), as data controller, will process your Personal Information collected on our COVID-19 screening website and otherwise in connection with our COVID-19-related safety processes and recommended health procedures, which may include COVID-19 or other health tests. This Policy should be read in conjunction with, and more details about data use and rights can be found, in the WarnerMedia Employee, Non-Employee, Production Policy, Filming & Talent Privacy Policy or B2B Data Protection Policy, as applicable, depending on your relationship with us, a copy of which has been provided to you or can be made available at your request.

Purpose and Legal Basis: We are collecting and processing certain Personal Information for the purpose of protecting the health, safety and welfare of our staff and wider workforce involved during the COVID-19 pandemic. The Production relies on the legitimate interest of protecting its workforce for this purpose. For special categories of data, such as sensitive health data included in your responses on the website or in any health tests, we rely on the ground that this processing activity is necessary for our legal duties and responsibilities as an employer to provide a safe and secure working environment. We may also rely on your explicit consent if we need to share information with third parties such as insurers or broadcasters.

Type and Sources of Personal Information: We will collect your Personal Information directly from you, when you answer the relevant questions on the site or take part in any of our health assessments or processes. This will include your name, role, work location, production code (if relevant) and whether or not you are experiencing any of a range of symptoms associated with COVID-19. We do not record your answers to any individual health-related questions, and these are only used to assess your ‘cleared’ or ‘not cleared’ status’ for the purpose of determining whether you are allowed to be present on the relevant Production property. We may also collect, using a testing provider, the results of COVID-19 and other health tests. For positive tests, we may also conduct contact tracing with you to determine other individuals with whom you may have been in close contact and areas or locations where you may have been.

Sharing and retention: The Personal Information we hold as a result of you using our COVID-19 website or participating in any of our health assessments or processes (namely, your name and email address associated with a historical record of your ‘cleared’ or ‘not cleared’ status over time, your test results, and your responses to contact tracing questions) may be shared within the Production group as necessary for the protection of our workforce and to enable business-critical decisions, in particular with our security staff, HR staff, health personnel, management and your direct supervisor(s). Where necessary, this information may also be shared with other companies and organisations that we work with such as the relevant broadcaster(s), co-producer(s) or other third party production, media or entertainment companies involved in the production, insurers, service providers such as providers of medical or physical security and those that operate and maintain this website. Those service providers will only use the data for our purposes and at our direction. We will disclose your test results and contact tracing responses where directed by you, to conduct contact tracing with you, and to enable business-critical decisions where your identity is required. We may disclose this information to local health authorities where permitted or required by law. Your personal information will be retained for as long as is necessary for the purposes described above.

WarnerMedia Production COVID-19 Vaccination Record Privacy Policy

This Privacy Policy explains how WarnerMedia (“we”, “us”), as data controller, will process your Personal Information collected on our COVID-19 vaccination record website and otherwise in connection with our COVID-19-related safety processes and recommended health procedures. This Policy should be read in conjunction with the WarnerMedia Employee, Non-Employee, Production Policy, Filming & Talent Privacy Policy or B2B Data Protection Policy, as applicable, depending on your relationship with us.

Purpose and Legal Basis: We are initially collecting and processing certain Personal Information (namely your name, email address, work location and a copy of your vaccination record) for the following purposes:

The collection of this Personal Information is reasonable for the purpose of managing WarnerMedia’s employment relationships and maintaining a safe and healthy working environment. WarnerMedia relies on your explicit consent to collect a copy of your vaccination record, and your explicit consent will be requested before you provide the relevant vaccination record. If you object to the collection of a copy of your vaccination record, please contact WMPrivacy@warnermedia.com for alternative data collection methods.

If circumstances change so that the vaccine becomes widely available to all adults in the countries in which we operate, we will collect and store this same Personal Information for the purpose of protecting the health, safety and welfare of our staff and wider workforce involved during the COVID-19 pandemic. WarnerMedia relies on the legitimate interest of protecting its workforce for this purpose.

Type and Sources of Personal Information: We will collect your Personal Information directly from you, when you answer the relevant questions on the site. This will include your name, role, work location, production code (if relevant) and, a copy of your vaccination record, where you have received the COVID vaccine, the dates you have received each dose and the manufacturer of each dose.

Sharing and retention: The Personal Information we hold as a result of you using our COVID-19 website may be shared within the WarnerMedia group as necessary for the purposes described above, in particular with our security staff, HR staff, health personnel, management and your direct supervisor(s). Where necessary, this information may also be shared with other companies and organizations that we work with such as the relevant broadcaster(s), co-producer(s) or other third-party production companies involved in the production, insurers, service providers such as providers of medical or physical security and those that operate and maintain this website. The Personal Information will only be shared with those external service providers as necessary, when permitted or required by applicable laws, and will only use the data for the purposes described above at our direction. We may disclose this information to local health authorities where required by law. WarnerMedia’s safety protocols may also result in incidental or inferential sharing of aspects of the personal information to others within the workplace. Your personal information will be retained for as long as is necessary for the purposes described above.
